Questions counsellors ask us
Is this instead of Jane?
It can be. Comfy Couch includes online booking, client accounts, secure messages, intake forms, session notes, questionnaires, treatment plans, invoices, card on file, reminders and receipts. If you'd rather keep Jane, we build your site and link every Book button to your Jane booking pages instead. Jane is a separate company; we're not affiliated with it.
Can I bring my clients over from my current system?
Yes, for free. Export your client list as a spreadsheet (CSV) and either import it yourself in your admin page or send it to us and we'll bring it in. Your clients choose their own password the first time they book or sign in.
Do you do video sessions?
Yes, with the video service you already use. Each counsellor adds their own Zoom, Google Meet or Microsoft Teams link, and it goes into the client's confirmation, reminder and account. Where you offer both, clients choose in person or video when they book.
Can I run groups and classes?
Yes. Schedule a group or a class once or every week, set the number of seats, and clients book a seat on your website until it's full. You can also add people to a private group yourself.
Where is my clients' information kept?
On VanOps's own server in Canada. Personal details, messages, session notes, questionnaire answers, treatment plans, signed forms and documents are encrypted, and card numbers are kept by Stripe, never by us. More on our privacy page.
How do clients pay?
With a card on file through Stripe, which you charge after the session (or for a late cancellation), or by paying when they book. The money goes to your own Stripe account. Receipts are in their client account.
Can I use my own intake forms and note templates?
Yes. You build them in your admin page: questions, your policies to agree to and a signature. We start you off with templates you can change, including SOAP, DAP and BIRP notes.
Will clients see my real availability?
Yes. Your site shows the open times from the hours you set, and skips anything already in your own calendar. With Jane, each button opens your live Jane calendar.
I'm a solo counsellor. Is this for me?
Yes. With one counsellor, the team section becomes an "About me" section with your own Book button. It works just as well for a group practice.
Can I use my own photos, colours and wording?
Yes. Your headshots, your brand colours and your own words. If you'd rather not have photos, we use a tidy initials badge instead.
What does it cost?
